We are seeking a Project Coordinator to support the smooth delivery of projects across client management, financial tracking, team coordination, and marketing collaboration. Salary - 30,000 rupees per month
Position Overview
The Project Coordinator plays a pivotal role in managing client relationships, ensuring project documentation accuracy, tracking financial performance, and maintaining effective communication between clients, contractors, suppliers, and the internal team.
This role suits someone who is highly organised, detail-oriented, and enjoys balancing client-facing responsibilities with operational and administrative duties.
Key Responsibilities
Client Relationship Management
Maintain consistent communication with clients and subcontractors to ensure satisfaction and project clarity.
- Arrange and document initial client meetings to capture project requirements.
- Develop comprehensive project briefs outlining scope, objectives, and deliverables.
- Prepare and issue proposals, including cost estimates and project timelines.
- Coordinate and finalise cost estimates with input from design and construction teams.
- Organise project close-out activities, including final client meetings, feedback collection, photography/videography, and case study preparation.
Ensure CRM systems and project documentation are regularly updated with accurate, current information.
Design Support and Visual Representation
Assist in creating visual representations of proposed landscape designs, including layout plans, 3D visuals, or rendered imagery.
- Work collaboratively with designers to refine concepts and ensure visuals align with client expectations and project scope.
Prepare presentation materials and design documents for client meetings and proposals.
Financial Management
Prepare and issue invoices, record bills, and track payments to maintain cash flow.
- Assist in financial planning and forecasting related to sales, expenses, and project costs.
- Monitor project budgets to ensure profitability targets are met.
Keep Xero and all related financial systems up to date.
Team Coordination
Track and monitor team task completion to ensure project milestones are achieved on schedule.
- Maintain accurate records of staff leave and availability.
- Update project management and internal systems regularly.
- Build and maintain relationships with suppliers, builders, and subcontractors.
Facilitate regular team meetings to align priorities and resolve issues proactively.
Marketing Support
Liaise with the marketing agency to track campaign performance and coordinate deliverables.
- Edit or prepare social media content (as required) using Adobe or similar tools.
- Support marketing initiatives that enhance brand visibility and client engagement.
Qualifications and Skills
- Diploma or degree in Project Management, Business Administration, or related field preferred.
- Experience in construction, landscaping, or design project coordination is advantageous.
- Familiarity with design and visualisation tools (e.g., SketchUp, Lumion, Adobe Photoshop, or Canva).
- Strong organisational and time management skills with attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office, CRM systems, and Xero (or similar accounting software).
- Familiarity with design or marketing tools (e.g., Adobe Suite) is a plus.
