Practice Manager

We are looking for an experienced, forward-thinking manager to join our Lower Hutt legal practice.

The Practice Manager role is varied and interesting – no two days are the same This position will require you to be flexible and adaptable as you respond to the changing needs of the business.

The Practice Manager works in conjunction with the Directors to set and implement the strategic direction of the firm. We are looking for someone with strong leadership skills who can carry out the vision of the Directors and drive operational efficiency.

The key areas of responsibility are financial management, HR, IT, compliance, and leading the general day-to-day operations of the firm.

If you have a strong background in management and operations, there is some scope to tailor the role to suit your skills and experience. You do not necessarily need to check every box, and you do not need to come from a legal background. The key areas of responsibility are:

Financial Management

  • Budgeting and cashflow management
  • Bank account reconciliation
  • End of month and end of year financial reporting
  • Accounts payable
  • GST, PAYE and FBT returns
  • Payroll
  • Liaising with external accountants as required
  • A proven understanding of accounting principles to profit and loss and balance sheet level

Human Resource Management

  • Recruitment (including drafting advertisements, vetting CVs, interviewing, preparing employment agreements, induction, training, and exit procedures)
  • Oversee staff performance and salary reviews
  • Assist Directors to resolve staff issues

Day to Day Practice Management

  • Manage the Administration team (direct reports)
  • Liaise with suppliers and negotiate new supplier contracts
  • Liaise with the IT provider to ensure smooth operation of IT equipment
  • Board meetings – Schedule meetings, prepare agendas, take minutes, implement action points
  • Ensure website is kept up to date

Compliance

Act as the Firm's Anti-Money Laundering Compliance Officer

Liaise with the Directors to ensure any complaints received are responded to and handled appropriately

Annual renewal of all insurance policies

Health and safety including Building Warrant of Fitness and fire drills

Maintain all policies, procedures and operational manuals
