About the Role

We're looking for an Admin and Guest Services Coordinator to oversee the organisation's meeting spaces and ensure every visitor receives exceptional service. This role involves managing bookings, coordinating events, and maintaining a professional, welcoming atmosphere within a busy legal association office. You'll work closely with staff and guests to deliver seamless service and uphold high standards.

Responsibilities

  • Manage meeting bookings and event logistics
  • Prepare documentation for external hires and internal events
  • Set up meeting rooms with furniture, catering, and tech
  • Troubleshoot AV equipment and coordinate IT support
  • Oversee catering, stock supplies, and venue cleanliness
  • Respond to guest inquiries and coordinate office services
  • Answering phone calls and emails, ordering office supplies

About You

  • 1-2 years experience in an office based role (ideally)
  • Excellent customer service and communication skills
  • Strong organisational and time management skills
  • Attention to detail and problem-solving ability
  • Able to work independently and in busy environments
  • Proactive with a solutions-focused mindset
