Position Overview
We are looking for an experienced Senior Service Delivery Specialist to join our New Zealand payroll team. This is a hands-on specialist role with a strong client-facing component. You will be responsible for delivering accurate and compliant payroll services to BIPO's New Zealand clients, supporting both in-house processing and outsourced payroll operations.
You will work closely with your manager based in Australia and collaborate with offshore (Philippines) team members while serving as a trusted point of contact for clients on day-to-day payroll and compliance matters.
Key Responsibilities
Payroll Delivery & Compliance (Core)
- Perform end-to-end payroll processing for New Zealand clients using BIPO HRMS
- Ensure full compliance with New Zealand legislation including the Holidays Act 2003 (as amended), Wages Protection Act, Minimum Wage Act, Employment Relations Act, KiwiSaver Act, ACC levies, PAYE, child support, and student loan deductions.
- Accurately calculate annual leave, alternative holidays, public holiday payments, sick leave, bereavement leave, and compensation leave for worked public holidays.
- Handle complex payroll scenarios such as terminations, redundancies, back-pays, overpayment recovery, and retrospective adjustments while ensuring Holidays Act compliance.
- Prepare and submit monthly PAYE returns, KiwiSaver contributions, and employer superannuation contributions via IRD myIR.
- Perform payroll reconciliations, audits, and year-end processes (including payment summaries and EMO files).
System management
- Manage and optimize the use of BIPO and other software like Butter, ensuring data accuracy and system efficiency.
- Work with Project, Product team to continue designing and improving leave + payroll process or enhance the function, ensure all controls, systems, and workflows for efficiency and scalability.
Client Support & Advisory
- Act as the day-to-day payroll contact for assigned New Zealand clients.
- Respond promptly and professionally to client queries on payroll, leave entitlements, tax, and compliance.
- Provide practical guidance on New Zealand employment and payroll legislation.
- Support clients during payroll audits, IRD reviews, or Labour Inspectorate visits.
- Assist the sales and account management teams with payroll-related questions during pre-sales and implementation phases.
- Team & Process Improvement
- Mentor and provide technical guidance to junior payroll team members (onshore and offshore).
- Contribute to the continuous improvement of New Zealand payroll templates, checklists, and standard operating procedures within BIPO HRMS.
- Participate in system testing for New Zealand payroll enhancements, Holidays Act updates, and statutory changes.
- Support payroll parallel runs and go-lives for new clients.
Attributes/Technical Skills
- Absolute accuracy and meticulous attention to detail.
- Strong client-service mindset with excellent communication skills (verbal and written).
- Ability to explain complex payroll and legislative concepts in simple terms to non-experts.
- Comfortable working under pressure and meeting strict deadlines (especially month-end and legislative deadlines).
- Proactive problem-solver who takes ownership of issues through to resolution.
- Team player who enjoys sharing knowledge and helping colleagues grow.
Relevant Experience and Qualifications
- Minimum 5 years of hands-on New Zealand payroll experience covering the full payroll lifecycle.
- Up-to-date, in-depth knowledge of New Zealand payroll legislation, particularly the Holidays Act 2003 (including recent amendments and calculation complexities).
- Proven experience processing payroll for 200+ employees across multiple entities/industries is highly regarded.
- Proficiency in at least two major NZ payroll systems (e.g., Xero, Smartly, IMS, Crystal Payroll).
- Strong Excel skills (VLOOKUP, pivot tables, complex calculations).
- Experience in a payroll outsourcing environment or professional services firm is highly desirable.
- NZPPA certification or working towards it is a plus.
