The Role:
We are seeking a proactive Office Manager / Project Coordinator to join our Auckland team. You will play a key role in keeping our projects and office running smoothly. This role combines administrative leadership with project coordination, ensuring deadlines are met and our teams are supported across multiple builds. This includes assigning and monitoring daily tasks and communicating, as well as creating reports and updates for the Project Managers and other members of the team.
Key Responsibilities:
- General office administration and support for project teams
- Preparing, issuing, and managing admin for tenders and quotes
- Assisting with project schedules and timelines
- Coordinating project start-ups (temporary power/water, site signage, lock boxes)
- Issuing builder's packs, including plans and building consents
- Tracking project milestones and providing status reports
- Attending project meetings and documenting actions
- Preparing project completion handover packs
- Following up on producer statements, warranties, codes of compliance, and contractor documentation
- Promoting teamwork and collaboration to achieve project goals
- Maintaining strong working relationships with clients, contractors, and internal teams
- Ensuring compliance with health, safety, and construction standards
About You:
- Previous experience in project administration or office management, ideally in construction
- Proven ability to support project delivery on time and to standard
- Good commercial and financial awareness
- Self-motivated with the initiative to anticipate tasks and support the team
- Excellent attention to detail and organisational skills
- Competent in Microsoft Office; experience with MS Project or Procore is a plus
- Strong communication and interpersonal skills
- Ability to work independently and as part of a collaborative team
