**Summary**:
The position of the Executive Assistant is to provide administrative support to the General Manager NZ and management team.

**Essential Duties & Responsibilities**:

- Forward planning including calendar management, scheduling meetings and appointments including liaising with clients to do this.
- Manage domestic and international travel arrangements and liaising with travel suppliers.
- Organise events or functions as required.
- Complete research, analysis and provide client or management reporting as required.
- Be the liaison between APAC HR and NZ team - assist with recruitment of staff, organising equipment and onboarding/offboarding new employees.
- Liaise with support staff to ensure preferred suppliers are set up and maintained to monitor operational costs for the business.
- Monitor office supplies costs and manage supplies for local office.
- Assist with creating client proposals and contracts.
- Manage NZ business insurances.
- Fleet Management including organizing vehicle replacements and ensuring maintenance and inspections are carried out.
- Maintain asset and equipment registers for NZ operation.
- Manage building leases including ensuring H&S requirements in the office are met.
- Organising management and Board meetings and taking meeting minutes.
- Liaison with APAC IT support, including setup and maintenance of user access requirements and controlling information on SharePoint.
- Liaise with APAC marketing on branding, local collateral, event organizing, social media and comms plans.
- Other functions as determined by business requirements.

**Qualifications**:

- Completion of a business administration or business qualification.
- Previous EA experience highly regarded however not essential.
