**Our Role**
We are recruiting an Administration Assistant for our Otorohanga Limestone Plant. Reporting to the Plant Manager, this role is responsible for general administration activities at the plant such as data entry, creating and maintaining database information, weighbridge assistance, confirmation and receipting of relevant documents and effectively communicating with relevant Graymont staff, visitors, suppliers and customers.
As the Site Administration Assistant you will:
- Ensure visitors and contractors are wearing appropriate PPE, check have completed relevant safety inductions, completed key risk statements and have valid competencies prior to being given security and site access.
- Works with accounts payable to action overdue orders/accounts and incorrectly/incompletely coded requisitions and orders.
- General reception and clerical duties including answering and diverting incoming calls.
- Send and receive post (couriers), order stationary and office supplies.
- Complete export in weighbridge and assist drivers when required.
- Assist with the document control of site administration including archiving of records under the direction of the Plant Manager.
- Attend and document Site Leadership Team Meetings as required.
- Perform other duties as required by the Plant Manager and support the Management Team on ad hoc tasks within competency.
- Maintain the Training Management System and coordinate training for employees
- Assist with site Health, Safety, Environment and Quality activities
To be successful in this role, you will:
- Successful experience in an office administration role
- Possess excellent verbal and written communication skills
- Work well autonomously and in a team environment
- Have at least intermediate Microsoft Excel and Word skills - the ability to maintain and create Macros will be highly regarded
- Have experience with ERP systems, in particular JD Edwards experience will be highly advantageous
