**Position Overview**:
As a Duty Manager at a motel, you will be responsible for overseeing the daily operations of the establishment and ensuring excellent customer service. You will play a crucial role in guest satisfaction, staff management, and maintaining a safe and welcoming environment for guests.
**Key Responsibilities**:
**1. Guest Services**:
- Provide exceptional customer service and ensure guest satisfaction throughout their stay.
- Handle guest inquiries, complaints, and requests promptly and professionally.
- Resolve any issues or conflicts that may arise and escalate as necessary.
- Maintain a thorough knowledge of motel facilities, services, and local attractions to assist guests effectively.
**2. Staff Management**:
- Supervise and coordinate the work of motel staff, including front desk personnel, housekeeping, maintenance, and security.
- Assign tasks, provide guidance and support, and conduct regular performance evaluations.
- Ensure adequate staffing levels and schedule employees to cover shifts effectively.
- Train new employees and provide ongoing training and development opportunities for existing staff members.
**3. Front Desk Operations**:
- Oversee the smooth functioning of the front desk and reception area.
- Manage guest check-ins and check-outs, ensuring accurate and efficient processing.
- Maintain reservations and room assignment systems, ensuring accuracy and timely updates.
- Handle cash transactions, credit card payments, and maintain accurate records of financial transactions.
- Manage guest billing and invoicing processes, including resolving any discrepancies.
**4. Safety and Security**:
- Maintain a safe and secure environment for guests, staff, and motel property.
- Monitor security systems, including CCTV, and take appropriate actions to address any security concerns.
- Implement and enforce safety and emergency procedures, including fire evacuation plans.
- Ensure compliance with health and safety regulations and conduct regular inspections to identify and resolve potential hazards.
**5. Financial Management**:
- Monitor and control expenses to meet budgetary goals.
- Prepare and analyze financial reports, including revenue, occupancy rates, and expenses.
- Identify opportunities to increase revenue and improve profitability.
- Implement effective cost-saving measures without compromising service quality.
**6. Facility Maintenance**:
- Ensure the motel premises are well-maintained, clean, and presentable at all times.
- Coordinate with housekeeping and maintenance staff to address repairs and maintenance issues promptly.
- Conduct regular inspections of guest rooms, public areas, and amenities to maintain high cleanliness standards.
- Oversee the inventory management of supplies and ensure adequate stock levels.
**7. Administrative Tasks**:
- Assist with administrative duties, including record-keeping, report generation, and maintaining documentation related to guest services, staff management, and financial transactions.
- Stay updated on industry trends and best practices to enhance motel operations and service delivery.
- Collaborate with other departments and managers to promote effective communication and teamwork.
**Qualifications and Skills**:
- Previous experience in the hospitality industry, preferably in a supervisory or managerial role.
- Excellent customer service and interpersonal skills.
- Strong leadership and team management abilities.
- Exceptional communication and problem-solving skills.
- Proficient in using computer systems and hotel management software.
- Knowledge of safety and security procedures.
- Familiarity with financial management principles.
