The Office of the Deputy Secretary Policy leads the planning and performance of the Policy Group. We provide high-level strategic advice and insights, ensuring effective business planning and governance, performance reporting, process improvement, quality policy advice, and the executive machinery of government functions required within a large, complex government agency.

We are looking for a Group Support; a co-ordinator, organiser, problem solver, relationship builder, system improver to join our fast-paced team.

Based in the Office of the Deputy Secretary Policy, the Group Support role plays a crucial role in supporting the wider Policy Group along with the Director of the Office of the Deputy Secretary.

Your key responsibilities in this role will be, but not limited to:

- Coordination of policy quality assurance systems and processes
- Coordination of reporting and contributing to wider process improvements
- Booking venues and organising events
- Managing correspondence and information including that of a sensitive and confidential nature
- Providing secretariat support to internal committees and forums, as needed
- Diary, inbox and calendar management including scheduling internal and external meetings

**Ō pūkenga/Skills and Experience**

To be successful in the role you will have:

- High degree of computer literacy, including advanced knowledge of MS-suite of products, in particular Outlook, Word, PowerPoint, and Excel, or demonstrated ability to quickly pick up this knowledge. Previous experience with TEAMS and SharePoint a distinct advantage.
- Proven organisational skills and demonstrated experience of being able to consistently reprioritise or triage tasks dependant on the team/unit/groups need, priorities and deadlines.
- Ability to build trusted internal relationships, and maintain an appropriate network of contacts which will assist in the effective day-to-day operation of the Policy Group.
- Demonstrated ability to maintain confidentiality, exercise discretion, judgement, initiative and deal with difficult situations,
- Experience working in either an Executive Assistant/Support role or extensive Personal Assistant experience and ready to take the next step in your career

We are looking for applicants who are comfortable in a fast-paced environment, use their initiative and think ahead. The ideal applicant will have excellent prioritisation capabilities and strong interpersonal skills. You will be a great problem solver, adaptable and will have the ability to communicate effectively with a wide range of stakeholders at all levels.

This role will be based in the National Office although we do support working from home arrangements. We'd be happy to discuss flexibility around hours/days of work.

**Utu ā-tau/Salary**

The starting salary for the Group Support role will be between $58,729 and $80,794, depending on skills and experience.
