**Job Description**:
Major Project coordinator works within multi-disciplinary teams and on major projects. The coordinator provides support on project-related activities which may include, but are not limited to, documentation, resource administration, travel, preparation, support and planning, data collection, analysis and presentation. Specifically, you will be working on the Te Awa Kairangi (Riverlink) Alliance - A great opportunity to work in an Alliance environment, which includes designers, constructors, stakeholders and the client all working in the same space.
Some of the key elements of this role will involve the following.
- Ensure the smooth running of the design team from an administration perspective.
- Provides secretarial support to senior members of the team, including diary management, support with expense claims, meeting organisation etc.
- Work closely with HR regarding support to the business for onboarding new employees, including day one induction plans and execution where necessary.
- Support event coordination for the business.
- Maintain and manage project documentation, directories and file systems in conjunction with the Digital Engineering (DE) and Design Operations teams
- Ensure all work is performed in accordance with QA procedures.
- Develop and maintain a positive rapport with internal and external clients and associates.
- Ensure confidentiality is maintained at all times.
- Assist with office support activities.
- Coordinate with wider office/project support staff as and when required
- Take an active part in well-being initiatives and help ensure the health and well-being of the design staff
- Ensure logistics for new team members, e.g. desk, mobile, computer and business cards and undertake necessary induction on AECOM systems.
- Provide support with travel requests; where necessary, processing through the travel system.
- Provide archive support to enable the efficient retrieval and storage of electronic records.
- Aid with preparing document deliverables (reports, bids, bid collateral and presentations), ensuring document content and formatting requirements comply with individual client needs, AECOM branding standards and writing guidelines.
- Assist with planning and organising corporate events.
