This role provides project administration support to Safe Power Services and its customers by coordinating and collating the required information to schedule jobs for the field team.
**Job requirements**:
- Project administration and coordination - collating job information and paperwork, setup, and management of jobs in the database and via network websites, and scheduling for the field team
- Finance administration - interpret job results from the field to ensure all costs are captured, draft invoices in Xero (on occassion: prepare weekly invoicing summaries and enter creditor invoices)
- Estimate/scope administration - setup scope details for the Director to attend sites, prepare electrical documentation and site markups, documentation management and sub-contractor liaison
- Inbox and calendar management (across multiple accounts)
- General administration and office duties - meter/stock orders, internal building/office audits, meter work order requests to approved test house/s
- Provide detailed responses and estimates to customer queries
- Point of contact for all incoming phone calls and meeting/greeting any visitors to the Safe Power Services office
- Attend quarterly health and safety meetings and provide minute-taking

- Effective and strong communication skills - both written and in-person
- Capability to build and maintain relationships (internally and externally)

- A commitment to adding value and contributing within a small team
**Mandatory requirements for all applicants include**:
- A minimum of at least five years executive level administration experience
- Advanced-expert level within MS Office programmes
- Holding a New Zealand full and clean driver’s license
