**Role Overview**:
Working closely with the Asset Manager, the Property Manager will be responsible for a designated property portfolio and focus on building strong customer relationships by providing superior customer service, enabling high occupancy and retention rates. Key responsibilities include tenant/customer liaison, optimising building presentation, liaison with Facilities Managers, planning and budgeting, preparation of reports and correspondence, together with assisting in rental reviews and special projects.

**Key Accountabilities**:
Financial
- Assist in the formulation of annual income and expenditure budgets and provide detailed narratives
- Provide input to detailed annual business plans, both strategic and financial
- Undertake monthly expense reforecasting (in conjunction with Facilities Managers)
- Undertake monthly income reforecasting ensuring Market Leasing Assumptions (MLA’s) are updated monthly in Yardi
- Detailed monthly preparation and review of each property’s net operating income statements and provide accurate commentary on variances against budget and the last reforecast
- Preparation, review and sign-off of future years’ recovery estimates and accurate data input of charges into Yardi
- Preparation, review and sign-off of annual outgoings recovery reconciliations
- Maximise income where applicable
- Oversee external Facilities Managers
- Develop applied capital expenditure strategies and maintain responsibility for forecasting
- Supervise tenant accounts and recovery of rentals whilst minimising arrears and defaults
- Review statutory valuations/invoices and recommend appropriate action
- Approve purchase orders and invoices payable

Operations
- When directed, instruct solicitors on and administer all lease documentation (including incentive deeds)
- Authorise all data entry into Yardi for tenancy records, including charges, reviews, incentives, option periods and recovery profiles etc.
- Maintain up to date knowledge/registers of all relevant property information such as carpets, floor refurbishments, building technical information etc
- Prepare monthly, quarterly and periodic reports
- Implement and maintain property management systems, diaries, information and protocols to ensure timely and efficient management of portfolio
- Manage the following for each property:

- Rental and lease administration
- Outgoings and cleaning recovery
- Electricity recovery
- Car park recovery
- Direct expense recovery
- After hours air-conditioning & tenant electricity profit
- Rent arrears
- Fixed and CPI rent reviews
- Yardi data integrity
- Financial and operational reporting
- Insurance audits

Tenants
- Tenant relationship management
- Deal with general tenant correspondence
- Ensure up to date lease audit/precis forms are completed for all leases
- Undertake make good negotiations in conjunction with the Asset Manager

**Requirements**:

- Minimum of 3 to 5 years’ experience in industrial and / or commercial property management
- Tertiary qualifications in property or a related area
- Working knowledge of property management systems, Yardi preferred but not essential
- Microsoft Office (Intermediate), including Excel, Word & Outlook
- Industry professional membership
