**SPECIFIC DUTIES & RESPONSIBILITIES**
Regional management:
- Manage and staff all campaign shifts within the Auckland region.
- Be contactable and responsive, communication is key to this role.
- Fill shifts on staff management software.
- Train BA's both pre-campaign online and in-store and conduct all relevant talent training, especially to hit campaign sales targets.
- Manage BA's day-to-day supporting them during a live campaign and fostering a company culture to ensure retention.
- Visit shifts and provide support where needed.
- Take campaign photos for client reporting and company marketing.
- Create campaign kits and manage these during a live campaign, topping up collateral when needed.
- Emergency cover for shifts when needed.
- Maintain storage unit ensuring it is kept a clean, tidy, and functional space.
- Organise kit swaps between BAs ensuring the team is well organised and equipped to do their job properly.
- Organising couriers for kit movements between regions.
- Take photos at campaigns for client reporting.
- Monitor BAs surveys ensuring these are completed on time and to a high standard, and provide assistance where needed.
Demonstrations/sales events:
- Provide assistance on all ideation, planning, execution and measurement of all Orbit's brand marketing initiatives and activations while managing deliverables in an efficient, timely manner.
- Liaise with clients to identify their needs and to ensure customer satisfaction.
- Conduct market research, gather information and negotiate contracts prior to closing any deals.
- Organise facilities and manage all event’s details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material.
- Ensure compliance with insurance, legal, health and safety obligations.
- Establish and maintain effective working relationships with vendors and suppliers to drive down costs and enhance event offerings.
- Specify staff requirements and coordinate their activities.
- Work closely with marketing to promote and publicise events.
- Proactively handle any arising issues and troubleshoot any emerging problems on the event day.

- Propose new ideas to improve the event planning and implementation process.
Business support:
- Attend Orbit meetings via teleconference or locally when practical.
- Working with colleagues to devise campaigns and event solutions that meet the client’s brief and budget.
- Provide outstanding customer service and build relationships with internal and external customers & suppliers.
- Presenting, alongside agency colleagues campaign ideas and budgets to the client.
- Manage on-site event production and post event pack down.
- Writing client reports and updates.
- Propose new ideas to improve the event planning and implementation process.
- Working with account team to brief media, creative and research staff, and assisting with the formulation of marketing strategies.
- Monitoring the effectiveness of campaigns and events.
- Undertaking administration tasks.
- Carry out other tasks and duties when required and instructed by either CFO or CEO or their delegated staff members.

**SKILLS, EXPERIENCE & EDUCATION**
- A relevant tertiary qualification e.g. Marketing/Management (with a major in Event Management).
- Previous experience in a Coordinator role.
- Proven experience in various conference and event types.
- Sales and negotiation experience in local market from prospecting to event contracting stage.
