Main Responsibilities

  • Provide full spectrum of secretarial and administrative support to the Senior IT Director.
  • Manage/maintain up-to-date schedules of appointments, business functions, and travel arrangements.
  • Coordinate logistics needs for business meetings or conferences and prepare meeting agenda, minutes, or related materials for specific meetings.
  • Organise IT vendor calls & meetings, NDAs, SOW review with Procurement and Legal.
  • Administer the licenses for IT Applications, coordination with Procurement.
  • Publish / Refresh 2 months advance leave plan of IT Team.
  • Handle internal and external business correspondences independently.
  • Handle confidential information and maintain proper filing system.
  • Manage to support other ad-hoc projects and duties.
  • Support during budgeting by collating IT streams submission for review and internal discussions.
  • Prepare presentations and participate in department planning meetings.
  • Share meeting minutes that involve Snr IT Director and direct meetings that are organised by Department Head.

Requirements

We seek a degree holder with a minimum of 5 years of relevant secretarial experience. Good command of spoken and written English is essential, with experience in buying office/trading/manufacturing industry being a plus.
