Job Requirements

To be successful in this role, you will need to possess excellent organizational skills, strong communication and interpersonal skills, and the ability to work effectively in a team environment. You will also require strong knowledge of SAP database, Microsoft Word, and Excel, as well as experience in the healthcare sector.

About You:
- Minimum of three years of experience in an administrative/secretarial role.
- Recognized qualifications demonstrating proficiency in word processing, dictaphone typing, and copy typing with accuracy and reasonable speed.
- Strong knowledge of SAP database, Microsoft Word, and Excel.
- Experience in the healthcare sector is an advantage.
- Ability to work independently and as an effective team member.
- Strong dictaphone skills and a proactive work ethic.

Your Key Responsibilities:
- Coordinate the Admin Team to deliver professional and proficient administrative assistance to the CAF Outpatient Service.
- Represent the Admin Team at the Clinical Leadership Group (CLG) and facilitate Admin Team meetings, keeping the Clinical Manager and Associate Clinical Manager informed of administrative concerns.
- Record, distribute, and manage meeting minutes for CLG Meetings, Business Meetings, and other relevant meetings.
- Oversee administrative tasks related to waiting list coordination and liaise with other services regarding interface meetings, in-service, and training sessions.
- Maintain the SAP database, run reports, and assist in training other staff as required.
- Ensure compliance with Mental Health Act (MHA) processes, including liaising with the DAMHS office, scheduling clinicians for court hearings, and ensuring legal documentation is completed accurately and on time.
