Trucks Service Administrator

Full Time Application Closes 06 Nov 2024 Otago - Dunedin City Office and Administrative Support Worker Cooke Howlison Trucks is without doubt Otago's leading truck workshop, and are fully authorised Isuzu and Scania agents, providing the highest quality service to their extensive client base.
We are currently looking for a highly motivated and customer focused individual to join our team as a Service Administrator.
The job will require the successful applicant to perform a wide variety of essential tasks ensuring we continue to function as a well oiled machine.
The role will require providing support services to customers, the service team, and on occasion the wider Cooke Howlison Trucks team, delivering an exceptional level of service for internal and external customers.
This is an exciting and rare opportunity to work in the heavy vehicle industry.
Key results areas for this role include: - Collating all job card information and documentation to form a structured service estimate and invoices, - Gather and enter the correct information into Autoline from timesheets, - Monitor and process external service PO's and invoices according to company procedures, - Maintaining records of repair orders and service history, - Ensure that all information is entered correctly into the system, in a timely manner, and that records are maintained, organised, and up to date, - Maintain data integrity of the company's systems when entering purchase orders and job cards.
- Escalate customer queries or complaints as appropriate, - Ensure all technical queries are dealt with through the Service/Parts/Sales Manager and Foreman as appropriate, - Processing of invoices and sublets, - Ordering stationery and other office supplies, - Answering incoming calls to the branch, - Assisting the Service/Parts/Sales Managers with sundry administrative tasks.
Automotive industry experience would be an advantage however is not required.
