We provide a full range of residential and commercial building services. Those services include design and project management services. We specialise in high-end residential new builds and renovations. We are now looking for a project adminsistrator to join our team.

**Job Title**: Project Administrator
**Location**: Auckland
**Reports To**: Project Manager

**Job Overview**:
**Key Responsibilities**:
**Project Support**:

- Assist in the planning and execution of projects according to project timelines, scope, and budget.
- Maintain and update project schedules, ensuring timely delivery of milestones.
- Coordinate project meetings, take meeting minutes, and follow up on action items.
- Prepare and distribute project documentation (e.g., reports, presentations, and status updates).

**Communication**:

- Serve as a point of contact between project teams, clients, and other stakeholders.
- Communicate project status, risks, and issues to stakeholders in a clear and concise manner.
- Manage client expectations and ensure alignment with project objectives.
- working with Project Managers, Architects, Engineering Professionals, owners and others to ensure that goals are met

**Document Management**:

- Maintain accurate project files and documentation, including contracts, project plans, and meeting notes.
- Ensure all documentation is up-to-date and accessible to team members.

**Resource Coordination**:

- Assist in coordinating project resources, including scheduling team members, equipment, and materials.
- Monitor resource utilization and ensure that any shortages or issues are addressed promptly.

**Budget and Financial Tracking**:

- Assist in tracking project expenses and ensuring the project stays within budget.
- Support the preparation of financial reports and assist in forecasting project costs.

**Risk and Issue Management**:

- Track and report project risks, issues, and changes.
- Assist in mitigating risks by following up on action plans.

**Quality Control**:

- Ensure that project deliverables meet quality standards and project requirements.
- Help identify areas for process improvement to increase project efficiency.

**Qualifications and Skills**:

- **Education**: Diploma in Business Administration, Project Management, or a related field (preferred).
- **Experience**: Previous experience in project administration or coordination is preferred (1-3 years).
- **Technical Skills**: Proficient in Microsoft Office Suite (Excel, Word, PowerPoint), project management software (e.g., Asana, Trello, Microsoft Project), and document management systems.
- **Communication**: Strong verbal and written communication skills.
- **Organizational Skills**: Ability to manage multiple tasks and priorities effectively.
- **Attention to Detail**: Ensures accuracy in project documentation and tasks.
- **Team Player**: Ability to work well in a team environment and with cross-functional groups.
