This full-time, permanent role involves a combination of financial and administration tasks and on-site liaison duties. The position will require assisting with the preparation of financial reports, managing Xero, payroll and supporting smooth communication between English-speaking site managers, owners, and Filipino contractors.
**Key Tasks and Responsibilities**:
- **Bookkeeping & Financial Administration**:
- Manage and maintain financial records using Xero.
- Prepare and review financial reports including balance sheets, income statements, and cash flow statements.
- Assist with the preparation of tax filings and ensure compliance with accounting regulations.
- Handle invoicing, accounts payable/receivable, and payroll processing.
- Maintain accurate records of financial transactions and assist with audits as required.
- **Interpretation and Translation**:
- Act as a liaison between site managers, owners, and Filipino contractors, ensuring effective communication and understanding.
- Provide basic Filipino interpretation (Tagalog) for both verbal and written communication between English-speaking team members and Filipino contractors.
- **Administrative Support**:
- Assist with general office operations such as scheduling, coordinating meetings, and handling correspondence.
- Maintain confidential company documentation and financial information.
- Ensure accurate filing, both digital and physical, of contracts, invoices, and other key records.
- **Customer Service & Coordination**:
- Ensure high levels of customer service when coordinating with clients and contractors.
- Provide support for onsite meetings as required, ensuring clarity in all communications.
**Job Requirements**:
- Proven experience in a bookkeeping or financial administration role.
- At least 3 years of experience in a corporate setting and/or public practice.
- Demonstrated experience in client management.
- Fluency in Tagalog/Filipino (both written and spoken) is essential.
- Advanced proficiency in using Xero software for financial management.
- Strong attention to detail and ability to meet deadlines.
- Proficient in Microsoft Office Suite (Excel, PowerPoint, Outlook) and Adobe tools.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Ability to handle confidential information with discretion.
- Excellent communication skills in both English and Filipino (Tagalog).
- Ability to work independently and manage multiple tasks with mínimal supervision.
- Willingness and ability to start early (from 4 am) as required by the nature of concrete pouring operations.
**Required Qualifications and Certifications**:
- Advanced certification in **Xero**.
- A current Site Safe certification is required.
- A valid First Aid Certificate.
- A New Zealand Driver's License.
- Must pass pre-employment drug and alcohol testing and police vetting.
**Additional Information**:
- The role is a one-person position, requiring someone who is self-motivated and able to work independently.
- The role typically operates Monday to Friday, with occasional weekend work (Saturday and Sunday) required at the end of the month for tasks such as bill payments or concrete pouring. Early starts (from 4 am) will also be required on some days due to the nature of concrete pouring operations. The position involves 40 hours per week, with flexibility needed to meet project deadlines and operational demands.
