About Us:
Join our dynamic team at Active Building Management as an Office Administrator

We are a thriving building management company seeking a skilled and enthusiastic individual to provide administrative support to our Directors and the Active Staff.

Kindly be aware that this position will initially be part-time for the first three months. Subsequently, as our current employee proceeds on maternity leave, the role will transition to full-time, serving as maternity cover during that period.

Key Responsibilities:
As an Office Administrator, you will play a pivotal role in various areas, including:
Administrative Support:

- Update PC, printer, and contact information regularly.
- Manage callouts, lockout invoices, and related queries.
- Maintain spreadsheets and databases.
- Coordinate office maintenance and repairs.
- Provide training on MYBOS systems to new staff.
- Implement swipe tag key processes.

Reception and Communication:

- Professionally handle calls and inquiries.
- Greet and assist visitors courteously.
- Support team members with various tasks.

Reporting and Data Management:

- Utilize reporting system software for work orders.
- Troubleshoot back-end system issues.

Website and Communication:

- Update the website with staff photos and relevant information.

Procurement and Inventory:

- Order items for Building Managers and track inventory.
- Obtain quotes and liaise with Accounts for various accounts.
- Manage budgets for groceries and chocolates.

Office Maintenance and Operations:

- Organize office cleaning, presentation, printing, and notices.
- Order office and company supplies.
- Collaborate with the office coordinator for streamlined processes.
- Maintain an organized office space aligned with company standards.

Building Management Support:

- Assist Building Managers with notices, letters, and contractor liaison.
- Support residents with queries using available resources.

Accounting and Financial Duties:

- Perform basic accounting tasks, including invoicing and data entry.
- Track stock of swipe tags and access consumables.

Onboarding Employees:

- Handle onboarding tasks and staff events.
- Set up devices and manage uniform arrangements.

Onboarding New Buildings:

- Assist in new building onboarding, including Mybos setup.

Qualifications:

- Previous experience in office administration.
- Experience using Xero.
- Strong organizational, excellent interpersonal and communication skills.
- Ability to multitask and work independently.
- Basic accounting knowledge is a plus.
- Team player who is friendly, energetic and willing to lend a hand with any task.
