**Tasks & Responsibilities**
- Office and Site services
- Greet customers and visitors in person and over the telephone by answering basic phone queries or directing to the appropriate personnel/department within the organization.
- Coordinate courier and postage system. Record pickup and delivery of courier packages and sign for/ distribute incoming courier packages.
- Organization of paper recycling and confidential bins within the office.
- Key contact with building manager for all building and site-related activities including maintenance, security, and carparks.
- Manage all external contractors (site related) and regular review of visitors’ management processes and procedures including health and safety requirements.
- Accounts Payable Support
- Work with Senior Accounting Officer to support the Accounts Payable functions.
- Run monthly Open Purchase Order Report and ensure users maintain, update and close their open purchase orders. Review and maintain GR/IR each month
- Key contact for GBSC and Process Management to identify compliance risks and gaps
- Register Customers and maintain our PPSR register according to customer terms and conditions
- Prepare and posting journals when required
- Manage lnvoicetrack, ensure invoices are correctly coded and meet local tax requirements. Liaise with GBSC
- Reconciliation of monthly Corporate Visa Card Statement with individual employee’s monthly card expense submission
- Prepare monthly payment requests to clear direct debits and for IRD payments.
- Health, Safety and Environment
- Take reasonable care of the health and safety of yourself and others.
- Cooperate with Boehringer Ingelheim management in the provision of a healthy and safe workplace.
- Identify and correct unsafe conditions or behaviors and immediately notify the Manager of any serious incidents; complete an incident / Injury Report and forward to Human Resources within the required timeframe in accordance with the Boehringer Ingelheim Policies and Procedures.

**Desirable Skills and Experience**:

- 3-5 years of similar or relevant experience in the same role
- Strong relationship-building skills with both internal and external stakeholders
- The ability to effectively communicate technical information
- Effective planning and time management
- Must be proficient in using MS Office tools (Word, PowerPoint, Outlook, Teams, and Excel).
