**About The Role**
We are seeking a versatile and detail-oriented professional to join our team as an Accounts Payable Specialist and Office Manager.
In this dual role, you will be responsible for processing invoices, managing supplier relationships, overseeing the daily operations of our Dunedin office and ensure the smooth functioning of our workplace.
This is a key role in our finance and administration team and will suit a highly organised person who thrives on accuracy, enjoys working in a team environment and can manage various administration tasks.
**Responsibilities**:
- Processing invoices and statements using Lentune.
- Verifying bank account information for new and existing suppliers.
- Responding promptly to queries from suppliers, Trade Partners, and the CBC team.
- Verifying and reconciling supplier statements.
- Conducting monthly credit card reconciliations.
- Maintaining company vehicle records and ensuring timely registrations and Warrant of Fitness.
- Organising and maintaining a systematic filing system for company documents.
- Supporting the Regional Manager, CFO, Company Accountant, and Finance Manager as needed.
- Assisting with timely processing of month-end procedures.
- Serving as the first point of contact for the Dunedin office for visitors and inquiries.
- Overseeing daily office operations, including ordering supplies and maintaining a tidy office space.
- Assisting with documentation and onboarding of new staff, and maintaining an accurate staff database.
- Supporting the planning and execution of office/company events and activities.
- Booking training sessions for the Dunedin team when required.
- Managing uniform stock control for the Dunedin office.
**Skills and Experience**:
- Proven experience as an Accounts Payable Specialist or similar role
- Strong attention to detail and accuracy
- Ability to work and effectively contribute to a close working team
- Maintain a positive “can do” attitude when confronted with challenging situations
- Excellent administrative and organisational skills with the ability to prioritise tasks, meet deadlines and maintain confidentiality
- High level of computer competence in Microsoft Office suite
- Excellent communication and interpersonal skills
- Analytical and investigative thinker
- Ability to work independently and meet deadlines in a fast-paced environment
