Due to an internal transition, we are seeking an Executive Assistant (EA) to join our team based in Beaumont Street, Auckland. This role involves providing exceptional administrative and advisory support to five of our Executives. Your responsibilities will include managing emails, organizing schedules, coordinating meetings, event management, preparing documents, arranging travel, and streamlining processes to allow our Executives to concentrate on strategic priorities. Additionally, you will assist in refining presentations and reports to enhance their clarity and impact.

The ideal candidate will possess a high level of independence, discretion, trust, judgment, initiative, and self-discipline, and will work effectively alongside other Executive Assistants and Senior Leaders. You should be technologically adept and recognized as a credible and effective relationship builder, comfortable collaborating with a diverse group of stakeholders.

Key responsibilities for the role include:

  • Manage and format any correspondence to a high quality for the executives.
  • Proactively manage the executives' diaries and appointments.
  • Mail, email, screening telephone calls, fielding inquiries and requests, and escalating urgent matters for the Executives' attention.
  • Communicating on the Executives' behalf with the organisation's Executives, Executives of external organisations, Board members, suppliers, and clients.
  • Plan and manage travel bookings – international and domestic.
  • Coordinate meetings and conferences as required.
  • Coordinate the organisation of executive-level business functions, lunches, and dinners.
  • Take meeting minutes and issue formal records of the meeting and action points, ensuring actions are followed up with those assigned.
  • Manage conferences and seminars when required.
  • Build strong relationships with internal staff.
  • Undertake other duties and specific projects as required by the Executives.
  • Work in collaboration with the Executive Assistant to the other executives where support and administrative tasks overlap.
  • You may be required to perform other duties related to your job as assigned.

Skills and Experience:

  • 3 – 5 years' Executive Assistant experience.
  • High level computer skills - Advanced Word, Excel, PowerPoint.
  • Exceptional verbal and written communication skills.
  • Strong planning, time management, and organizational skills.
  • High level of resourcefulness, initiative, and motivation.
  • Professional 'can do' attitude.
  • Demonstrated high level of personal integrity, initiative, and confidentiality.
