As our front desk administrator, you'll be the first point of contact for visitors, clients, and team members. Whether it's supporting onsite visitors and meetings, or editing a report, you'll be at the centre of it all

What you'll do:
Keep the office humming- Coordinate reception, greeting visitors with a warm and professional welcome.
- Provide excellent customer service, assisting with answering questions around our services, events and resources and handle customer feedback correctly.
- Answer phone calls, emails, and direct inquiries to the right team members.
- Maintain office supplies, ensuring everything is stocked and organised.
- Collect mail and arrange couriers.
- Ensure staff room and meeting rooms are clean, tidy, and stocked.
- Schedule and support onsite meetings, bookings, and travel arrangements.
- Assist the Manager Customer Experience with event coordination and logistics.
- Help with preparation for delivery of trainings and courses.
- Provide administrative support to the wider team as needed.
- Maintain and update records, policies and procedures, databases and similar, ensuring information is accurate and accessible.
- Assist with preparing reports, presentations, and communications.
- Support financial administration, such as processing invoices or expenses.
- Work alongside different teams to ensure smooth day-to-day operations.
- Support the Manager Customer Experience as and when required.
- Be a go-to person for general office inquiries and problem-solving.
- Arrange member publication loans, records and monitor returns.
- Upload publications to website.
- Print and file new publications.
- Record new library books and file.
No one's perfect, but you might be pretty darn close
- Excellent communication skills, with a welcoming and professional manner.
- Highly organised, with strong attention to detail and the ability to multitask.
- Proactive problem-solver, who can take initiative and adapt to changing needs.
- Experience in office administration, reception, or customer service is a plus.
- Tech-savvy, with proficiency in Microsoft Office and admin systems.
- Team player, who thrives in a collaborative work environment.
- Willingness to learn.
