Wellington, Wellington, New Zealand PAE Full time
  • Work closely with clients, contractors, and internal teams
  • Use your admin smarts to solve problems and drive results
  • Be the go-to for customer and internal escalations

Play a pivotal role in keeping Wellington's world working and moving.

PAE is one of New Zealand's largest providers of facilities management services. With a proud legacy of supporting critical infrastructure – from defence sites to civic spaces – we deliver services that keep our clients operating safely, efficiently, and sustainably.

About the role

This is a hands-on coordination role with plenty of variety. You'll support day-to-day service delivery across a complex and busy contract, including managing subcontractor performance, resolving escalated work orders, analysing client data and reporting, and keeping our internal systems accurate and up to date.

Working closely with operational teams, suppliers, and client stakeholders, you'll make sure the right services are delivered, to the right standard, at the right time — while identifying opportunities to lift performance and streamline processes.

What you'll be doing:

  • Coordinating day-to-day service delivery activities across the client portfolio
  • Assisting in the management of subcontractor relationships, on boarding, performance tracking, and service reviews
  • Responding to escalated queries and supporting issue resolution with work orders
  • Analysing operational and client reporting data to identify risks and improvement opportunities
  • Maintaining contract documentation, system records, and 'knowledge base' content
  • Supporting the broader Support Centre team with contract delivery and customer communications

What you'll bring:

  • Strong organisational, planning, and problem-solving skills
  • Comfort working with systems, data, and reporting tools (MS Office essential)
  • High attention to detail and a natural drive for accuracy and completeness
  • Confident communication skills — verbal and written — and great relationship management instincts
  • Resilience, flexibility, and the ability to juggle multiple demands at pace

Why PAE?

At PAE, we go the extra mile — not just for our clients, but for each other. You'll join a supportive team that values doing the right thing, bringing your best, and looking for opportunities in every challenge. The work you do may be behind the scenes, but the impact is front and centre

Ready to step into a role where your coordination skills truly matter?
