Local Procurement / Customer Service Coordinator (Mandarin Speaking)

Job Type: Full-time (Shift Work)

Position Overview:

We are seeking a detail-oriented and dynamic Procurement / Customer Service Coordinator to join our team. This is a newly created position, and you will be a key bridge between suppliers and internal customers, ensuring efficient procurement processes while providing exceptional customer service support. You will handle supplier communications, order management, and resolve procurement and service-related issues promptly. This role will involve shift work, which includes weekends.

Key Responsibilities:

  1. Procurement Support
  • Create and process purchase orders, ensuring accurate pricing and timely deliveries.
  • Work closely with suppliers to confirm orders, track shipments, and resolve supply chain disruptions.
  • Monitor inventory levels and alert the procurement team to potential shortages.
  • Support new product development and packaging planning to ensure consistent supply.
  • Procure stock based on customer requirements.
Customer Service
  • Act as a point of contact for internal stakeholders to address procurement-related inquiries.
  • Manage all communications with the Fresh Distribution Center (DC) regarding product needs and strategic planning.
  • Serve as the direct link between the HF Category Manager and Fresh DC Category Managers for all requirements.
  • Promote product volume into the distribution centers.
  • Respond to and resolve customer complaints or issues related to product orders, delays, or discrepancies.
  • Provide order updates and resolve service inquiries with speed and professionalism.
  • Develop and maintain positive relationships with key suppliers.
  • Coordinate with suppliers to ensure products meet quality standards and delivery schedules.
  • Address vendor issues related to pricing, returns, or defective goods.
Order Management
  • Track and update order statuses, ensuring timely and accurate delivery of goods.
  • Liaise with internal teams to address any changes in order specifications or delivery schedules.
  • Review and approve invoices, ensuring they match purchase orders and delivery documents.
Documentation & Reporting
  • Maintain accurate and detailed records of all procurement transactions and customer service interactions.
  • Prepare reports on procurement performance, supplier reliability, and customer service metrics.
  • Assist with audit preparation and provide necessary documentation to support financial reviews.
Process Improvement
  • Identify opportunities to streamline procurement processes and improve customer service workflows.
  • Participate in process review meetings and contribute to continuous improvement initiatives.
  • Perform other related tasks as assigned by the manager.

Requirements:

  • Experience in procurement, customer service, or a related field.
  • Fluent in both English and Mandarin, with excellent communication and interpersonal skills.
  • Ability to handle multiple tasks in a fast-paced environment and manage priorities effectively.
  • Proficient in Microsoft Office software; experience with procurement software is a plus.
  • Strong problem-solving skills and attention to detail.
