As a Recruitment Coordinator, you'll manage the end-to-end recruitment process for civilian roles across NZDF. From advertising and interview coordination to employment documentation and system updates, you'll ensure a seamless experience for candidates and hiring managers alike.

You'll work closely with Recruitment Advisors to deliver timely, professional, and empathetic recruitment support. Your ability to juggle multiple priorities, maintain accuracy, and build strong relationships will be key to your success.

Key Responsibilities:

  • Coordinate all stages of the recruitment process within agreed timeframes.
  • Provide clear, timely communication to candidates and hiring managers.
  • Prepare and manage recruitment documentation and pre-employment checks.
  • Maintain and update the Prospect and Candidate Management System (PCMS).
  • Liaise with internal teams including HR Service Centre, Defence Security, and Hiring Managers.
  • Support candidates through the onboarding process with professionalism and care.

We're looking for a talented and experienced coordinator. This is a unique workplace, where you will be required to navigate yourself around the procedures, processes and systems with impeccable attention to detail and the ability to work on multiple tasks and priorities at once.

You will demonstrate:

  • Proven administration experience, ideally in a recruitment or customer service environment.
  • Strong planning, organisational, and multitasking skills.
  • High attention to detail and accuracy.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and use sound judgement.
  • Experience with systems such as Salesforce, SAP, and SharePoint.
  • A commitment to confidentiality and professionalism.

This is a fast paced role so being agile and flexible in this constantly changing environment is a must. You'll enjoy being busy and can easily build and maintain strong working relationships not only with the applicants, but with a wide range of stakeholders across the organisation.

Prior experience with Salesforce and recruitment platforms such as Seek and Government Jobs would be great, although not necessary. We want to find the right person to fit our team; the rest will fall into place with guidance, full support from our team, and on the job training.

To be eligible for the required level of government security clearance with the NZ Defence Force, you need to meet certain citizenship and residency criteria. Here's what you need to know:

Low Level Security Clearance

  • You must be a New Zealand citizen or you must hold New Zealand Permanent Residence or have a current New Zealand Residency Class Visa.
  • At minimum, you must hold New Zealand Permanent Residence or have a current New Zealand Residency Class Visa, and you must be a citizen of and have lived in Australia, Canada, United Kingdom, United States of America or New Zealand continuously for the last five (5) years.
  • You must have a five (5) year background history that can be verified and assessed appropriately by the NZ Security Intelligence Service (NZSIS) to determine if you are suitable for a security clearance at this level.
