Laboratory Coordinator

Position Purpose:
The Laboratory Coordinator is responsible for ensuring the laboratory is planned, resourced, and fully prepared for all current and upcoming studies.
This role provides forward visibility of workload and supports the Laboratory Manager and Team Leads in coordinating study setup, resource allocation, and readiness activities.
By improving planning and communication, the Laboratory Coordinator enables seamless study delivery, proactive issue management, and effective use of team resources.
Responsibilities:
Study Planning and Readiness
- Support the Laboratory Manager in maintaining oversight of upcoming studies and readiness milestones.
- Develop and maintain a Lab Project Tracker to monitor progress and identify risks early.
- Coordinate study setup activities, including space allocation, consumable planning, and equipment readiness.
- Ensure all readiness documentation and study-specific lab requirements are completed before study startup.
- Review draft Lab Manual for local operational feasibility and provide feedback related to any challenges or suggested edits.
- Provide regular readiness updates to the Laboratory Manager and relevant project teams.
Resource Coordination
- Work with the Laboratory Manager and Team Leads to map staffing and resource allocation across studies (includes centrifuge, freezer, Biosafety cabinet, space and people resourcing).
- Identify capacity constraints and escalate potential bottlenecks in advance.
- Coordinate procurement of consumables and equipment in line with study timelines and budgets.
- Support inventory tracking and ensure lab infrastructure is aligned with operational demands.
Communication and Collaboration
- Act as the central point of coordination between the laboratory, Study Coordinators, and other operational teams.
- Attend relevant project and operations meetings to provide lab readiness updates.
- Support clear and timely communication of lab needs, risks, and priorities.
- Promote a proactive and collaborative culture within the laboratory team.
Continuous Improvement
- Maintain compliance with all New Zealand Clinical Research standards, protocols, and regulatory requirements, adhering to Good Clinical Practice (GCP).
- Regularly evaluates, documents, and refines clinical and operational processes to enhance accuracy, consistency, and overall quality.
- Identify opportunities to streamline lab setup processes and improve readiness tracking.
- Support the Laboratory Manager in preparing readiness or quality reports.
- Assist with internal audits, corrective actions, and implementation of process improvements.
Workplace Health and Safety
- Champions a culture of health and safety, ensuring preventative measures are in place to minimize risk to team members and participant.
- Actively identify and report health and safety hazards, accidents, incidents, injuries, and property damage.
- Understands and complies with NZCR's Health and Safety policies and procedures
- Maintains adherence to all safety standards and processes.
General
- Undertaking any other appropriate duties that may be required
Minimum Position Requirements
Education
Essential:
- Relevant tertiary qualification in a science or technical discipline (preferred).
Experience:
- Experience in research, clinical, or operational laboratory environment (preferred).
- Demonstrated ability in planning, coordination, or resource management roles.
- Familiarity with study startup processes and laboratory readiness requirements.
Skills and Attributes
Essential:
- Strong organisational and coordination skills with attention to detail.
- Effective communicator across technical and non-technical teams.
- Proficiency in project tracking or scheduling tools (e.g., MS Project, Excel).
- Understanding of laboratory workflows, GCP principles, and quality systems.
- Proactive, solution-focused approach with the ability to anticipate operational needs.
