Overview

NorthTec Tai Tokerau Wānanga has an exciting opportunity for a dedicated and organised professional to join our team as Fieldwork Placement Administrator (0.8 FTE).

In this vital role, you'll coordinate fieldwork placements across regulated Social Work and Social Services programmes, ensuring schedules, documentation, and compliance meet the highest standards. You'll be the key liaison between academic staff, placement partners, and ākonga (students), supporting the safe and effective delivery of accredited placement experiences.

This is a permanent, part-time (30 hours per week) position based at our Whangārei campus, with occasional travel across Tai Tokerau and flexibility to attend events outside standard business hours.

Key Responsibilities:

  • Develop and maintain placement schedules in collaboration with academic staff and placement partners. Ensure equitable and timely completion of tasks pertaining to fieldwork education placements/practicum across programmes. Coordinate logistics such as travel, accommodation (if applicable), and orientation materials.
  • Maintain accurate records of placement/practicum agreements, student progress, and site evaluations. Ensure all documentation meets the standards set by SWRB and/or NZQA. Prepare reports and audits for internal and external quality assurance reviews.
  • Build and maintain strong relationships with external placement organisations. Facilitate regular communication and feedback loops between stakeholders.
  • Escalate concerns appropriately and support resolution processes. Ensure safeguarding and professional conduct standards are upheld during placements.
  • Assist academic staff with placement-related queries and administrative tasks. Coordinate pre-placement briefings and post-placement debriefs.
  • Contribute to the development and refinement of placement policies and procedures. Promote consistency in placement management across programmes. Identify and develop opportunities to streamline administrative workflows and improve efficiency.

Skills, Experience and Attributes

  • A relevant tertiary qualification in administration, health sciences, education, or a related field, or equivalent professional experience.
  • 2+ years' experience in administrative coordination or project support roles, preferably within an educational or healthcare/ social work setting.
  • A full driver's licence is required.
  • Demonstrated experience working with databases, scheduling systems, and digital tools for managing complex workflows.
  • Proficiency in using placement management systems, databases, and Microsoft Office tools.
  • Familiarity with regulatory and compliance frameworks, particularly in relation to professional education or clinical placements.
  • Familiarity with Te Tiriti o Waitangi principles and their application in a fieldwork placement context.
  • Experience working in tertiary education, particularly in Nursing, Social Work, or other regulated professional programmes.
  • Knowledge of the standards and requirements of the Social Work Registration Board (SWRB)
  • Experience supporting ākonga or learners in a culturally responsive and inclusive environment.
  • Understanding of Te Tiriti o Waitangi and its application in educational settings.
  • Proven ability to manage complex schedules and administrative processes.
  • Strong interpersonal and written communication skills for engaging with diverse stakeholders.
  • High level of accuracy in record-keeping and compliance monitoring.
  • Ability to proactively identify and resolve issues in a timely and professional manner.
  • Demonstrated experience working collaboratively within multidisciplinary teams.
  • Commitment to supporting ākonga in a culturally safe and inclusive environment.
  • Police vetting required (Children's Act core worker).
