Position Description

Housing First is an exciting new collaborative programme being established by the Auckland City Mission and Lifewise. Housing First will provide rapid access to housing and wrap around supports to people experiencing chronic and transitional homelessness in the Auckland city centre using the principles of Housing First and a kaupapa Māori approach.

As the Housing First Programme Administrator you will provide efficient and proactive support to the Housing First Service Leader as well as other members of the Housing First team. You will be a critical part of the Housing First team and you will help create and maintain a welcoming, friendly and supportive environment for staff, participants, partner organisations and other stakeholders.

This is a full-time role for 40 hours per week with some flexibility around the days/hours and location of work including some hours worked from home by agreement..

- You report to the Housing First Service Leader

WHAT YOU'RE RESPONSIBLE FOR:
As a member of the Housing First team you will:

- Support the Housing First Service Leader with day-to-day administration support, including calendar scheduling, document development, and any other general administration support as required.
- Provide members of the Housing First team with day-to-day general administrative duties including (but not limited to): the management of petty cash, vehicle maintenance, reporting and monitoring requirements, organisation of training, regular communication with internal and external stakeholders and scheduling and organisation of team meetings, planning and review sessions as well as taking minutes or notes
- Support the team to ensure high quality data capture for the Housing First programme including updating and administering Recordbase as a Super user, and the quality control of Recordbase in line with MSD reporting requirements
- Develop and coordinate monthly client data information/reports for Service Leader and Senior Practitioners that supports quality service delivery
- Administration for all management and governance board with accurate data including team meeting PCG govern mace board and any other internal sytems
- Coordinate whanau list allocations for housing moves in and out of housing first properties
- Coordinate housing first referrals meeting and allocations with the property team
- Coordinate referral assessments for all Housing First and emergency places at Housing First allocated Motel
- Compile a weekly list of office operational requirements and order stationary and other items accordingly
- Coordinate and liaise with Airedale Property Trust whanau viewings, property move-ins, repairs and issues.
- Support the team communication and directing team to policies and procedures relevant to the programme
- Provide administrative support for on-boarding new staff including orientation and training to intranet and Recordbase systems
- Coordination of all contractors, cleaners and maintenance and deal with any associated invoices
- Back up support to the whanau for Key and Peer workers, and being a central point of contact for all whanau
- Undertake other tasks as requested by the Housing First Programme Service leader

- Demonstrated ability to maintain professional integrity and self-care
- At least three years of administration experience
- Working of the Microsoft Office suite including Word, Powerpoint Excel and outlook calendars
- Excellent attention to detail, in particular with written documentation and electronic databases
- Excellent time management and organisational skills
- Ability to innovate, learn new skills and problem-solve
- Cultural competencies with knowledge of tikanga me te reo Māori
- Experience working in similar roles in the health or social sector particularly with people experiencing homelessness or in mental health, addiction or disability services is an advantage
