- **Purpose of the Role**:

- The Service & Parts Advisor ensures customer satisfaction by managing service appointments, explaining repair needs, providing accurate cost estimates, and coordinating with technicians to deliver timely and quality service. Other responsibilities for this role include managing parts inventory, processing orders, and providing accurate and timely parts support to both internal departments (service and workshop) and external customers. This role ensures efficient parts supply to maintain smooth operations and customer satisfaction.

** Key Responsibilities**:

- **Customer Service & Communication**- Listen to customer concerns and document vehicle issues.
- Explain service options, costs, and timelines clearly.
- Keep customers informed on repair status and obtain approval for additional work.
- Promote recommended repairs, preventive maintenance, and accessories.-
- **Service Coordination**- Schedule appointments and manage workshop capacity.
- Prepare job cards with complete information.
- Communicate repair requirements and updates to technicians.
- Ensure compliance with manufacturer standards and warranty guidelines.-
- **Costing & Invoicing**- Provide accurate repair estimates.
- Prepare and process invoices promptly.

**Parts Management**- Assist customers in identifying and ordering correct parts.
- Provide pricing and availability details.
- Process orders accurately and coordinate special requests with suppliers.
- Maintain stock levels, conduct inventory checks, and manage discrepancies.
- Issue parts for scheduled jobs and record transactions in the dealer system.

**System & Record Keeping**- Maintain accurate records in the dealer management system (e.g., Pentana).-
- **Skills & Competencies**:

- Strong attention to detail and organizational skills.
- Excellent communication and customer service abilities.
- Ability to work under pressure and meet deadlines.
- Knowledge of automotive parts and systems.
- Proficiency in dealer management systems and inventory software.
- Customer-focused with problem-solving skills.
- Proficiency in dealer management systems (e.g., Pentana).-
- **Qualifications & Experience**:

- Previous experience in automotive service or customer service roles.
- Knowledge of vehicle systems and basic mechanical understanding.
- Familiarity with warranty processes and manufacturer guidelines.
- Full NZ Driver’s Licence.
- Basic mechanical knowledge and understanding of vehicle components.
