**Role Purpose**
We are looking for a motivated, reliable and organized **Inwards Goods and Despatch Manager** (full time) to join our team at collision repair centre.

Our ideal applicant needs to be physically fit (occasional heavy lifting is involved), have solid computer skills, attention to detail, and friendly personality. The role encompasses efficient management of the procurement, receipt, storage, and despatch of goods, vehicle parts and components, and vehicles. The role is integral to maintaining workflow, inventory accuracy, and ensuring timely repair and delivery of vehicles.

The position provides full support to section Managers to ensure efficient and smooth operations and assist the teams to achieve their targets.

You will be working within a busy and hands-on challenging environment: looking after entrance security gate, receiving and despatching of goods and vehicles, updating inventory system, document processing, sourcing parts and components from overseas and responding to requests from management.

To be successful in this role you need to be fit, procedure driven, have the right attitude with strong work ethics, be focused on customer service and site security.

**We Offer**
- Commencement Date: As soon as Work Visa is approved by Immigration NZ
- Location: South Auckland
- Contract Type: Wage, Full Time, Permanent (Monday to Friday, 8am - 5pm)
- Remuneration: $30 - $35 per hour

**Role Responsibilities**
In this role you will be responsible for carrying out on daily basis:

- Understand role’s targets and performance expectations
- Always follow the Standard Operating Procedures - SOP (if applicable)
- Inspect incoming goods to verify accuracy against purchase orders
- Check incoming goods for damage, defects, or discrepancies and report as necessary
- Label and store parts systematically in designated locations
- Update inventory records in the workshop management system promptly
- Prepare outgoing parts and materials for dispatch, ensuring accuracy and proper packaging
- Coordinate delivery schedules with couriers or workshop staff
- Ensure all dispatch paperwork (e.g., delivery notes, invoices) is accurate and filed appropriately
- Maintain a record of all incoming and outgoing goods
- Liaise with the workshop team to ensure timely delivery of parts for ongoing repair jobs
- Assist in procurement of vehicle parts and components from overseas (mainly Japan)
- Handle requests, tickets, and inquiries with a sense of urgency and attention to detail
- Greet and verify all visitors and vehicles entering the premises
- Check visitor identification and confirm appointments or permissions before granting access
- Record vehicle and visitor details, including license plate numbers, names, and purpose of visit
- Issue visitor “hi-viz” vests and ensure they are worn during their visit on premises
- Monitor and manage vehicle entry and exit to avoid congestion at the gate
- Direct vehicles to designated parking or unloading areas as needed
- Assist in unloading vehicles from tow trucks
- Inspect vehicles entering or leaving the premises for unauthorized items, if required
- Liaise with workshop staff or management to confirm visitor appointments and delivery schedules.
- Notify the relevant staff or department of visitor arrivals promptly
- Ensure only authorized personnel and vehicles enter the premises
- Enforce health and safety protocols, including visitor sign-ins and adherence to site rules
- Conduct routine checks of the gate area to ensure it remains secure and operational
- Report any incidents, equipment malfunctions, or security concerns to management
- Handle visitor or driver queries professionally and courteously
- Maintain a friendly and approachable demeanor while upholding security standards
- Manage the Reception (walk-ins, couriers, etc.)
- Customer Service and Care (attend to all visitors - make customers feel comfortable and welcomed)
- Schedule and coordinate appointments
- Handle customer complaints or issues in a professional and empathetic manner
- Create and allocate service Tickets
- Meet and Greet visitors (“Access Request and Declaration” form, issue “hi-viz” vests, etc.)
- Request each and every customer to Google Review and ask for Facebook Likes
- Arranging loan/courtesy cars, and verifying insurance details
- Ensure vehicles are tidily and neatly parked and organized in Customer Parking area
