AE Smith, a division of Spotless NZ Group, delivers technical and engineering services covering mechanical services, energy efficiency and building services solutions throughout New Zealand.

We are looking for a Site Administrator to provide effective project administration support to the business, with a focus on Q/A management & entry, and site labour related support. The role will be based at Waikeria Prison with the opportunity to work from home and do more hours

Some of the key responsibilities include:

- Manage general site administrative functions, including but not limited to, liaising with internal and external stakeholders, receiving and distributing correspondence items, ordering and distribution of office supplies and PPE
- Monitor, track and record site labour activities to assist with labour forecasting.
- Populate and submit weekly site labour timesheets to the Support Services team.
- Conduct all work in accordance with AE Smith standard and Spotless company policy.
- Ensure that safe work processes are implemented and maintained by all project related staff, for a zero
- harm outcome.
- Update safe work method statements in line with AE Smith & client standards as required
- Responsible for site-based Q/A administration including all aspects associated with the AES ISO9000 Conqa Cloud based Q/A system and site Q/A photos, and submissions to Aconex Packages
- Transportation of site-based employees to and from work

**Nga pūkenga matua | Important Skills**
- Experience in general office administration
- Certificate in Business Administration is desirable
- Great computer skills and capabilities with Microsoft Office
- Knowledge in HS&E would be preferable
- Experience with Aconex and basic accounting is ideal
- Using problem solving and analytical skills
- Identifying opportunities and developing alternative solutions
- Competent letter and report writing
