We are seeking a highly skilled and motivated Administrator to oversee the planned and urgent maintenance of our Community Dental Fleet, ensuring compliance with legislative and Health and Safety requirements.
This position also involves coordinating maintenance for Health NZ Te Whatu Ora Waitaha Canterbury and South Canterbury Community Dental clinics and other administrative tasks to support our service delivery.

Key Responsibilities:

- Supervise the planned and urgent maintenance of the Community Dental Fleet, including 18 Dental Vans, 4 T-Units, with an approximate value of $15 million.
- Coordinate maintenance for 13 Community Dental clinics, ensuring compliance with legislative and Health and Safety requirements.
- Oversee payment of power accounts to approximately 220 schools and manage Oracle ordering.
- Coordinate the movement of T-units across Canterbury and South Canterbury.
- Book travel and accommodation for staff and provide administrative support to the Community Dental Service Leadership Team.
- Work with providers and suppliers to support fleet maintenance, including obtaining quotations and sourcing new suppliers and providers.
- Liaise with CDS Clinical Team Leaders to ensure mínimal disruption to service delivery during vehicle maintenance.
- Coordinate with school principals and secretaries to ensure prompt payment of invoices and coordinate van and T-unit movements.
- Develop annual planned maintenance schedules to ensure vehicles are safe and meet compliance standards while minimizing disruption to services.
- Create purchase orders, goods receipting (Oracle), coordinate delivery to dental clinics, and ensure timely payment of all accounts.
- Provide administrative support, including arranging meetings, agendas, minutes, maintaining telephone lists as required.

**Essential**
- Highly-developed interpersonal skills, with the ability to establish collaborative working relationships.
- Experience with Microsoft Office suite (minimum intermediate level) and ability to learn new software programs and systems.
- Strong communication skills, both written and verbal.
- Excellent organizational skills, with the ability to multitask, prioritize tasks, and make informed decisions.
- Client-focused approach for both internal and external stakeholders.
- Self-directed learner who actively seeks new ways of working.
- Experience working within a Te Ao Māori environment and understanding of Tikanga Māori, or experience working within a bicultural context with diverse communities and/or organizations.
- Valid Driver's License, with confidence in driving large vehicles.

**Desired Qualifications**:

- Experience in project planning and coordinating services across multiple locations.
