Porirua City Council is seeking an experienced Executive Assistant to support our General Manager of Policy, Planning & Regulatory Services. The successful candidate will be responsible for providing high-level support to the General Manager and the wider Policy, Planning & Regulatory Services leadership team. We're looking for someone who is able to work effectively in a fast-paced environment, manage competing priorities, and maintain confidentiality and discretion.

Your Key Responsibilities

  1. Diary management: Manage the General Manager's schedule, including prioritising and organising events and meetings and compiling briefing material daily.
  2. Liaison and communication: Manage Local Government Official Information Management Act (LGOIMA) requests for the PPRS group and prepare, manage and review communication and correspondence to a high standard of accuracy and quality.
  3. Project coordination: Establish and maintain effective systems for document management and provide exceptional administrative assistance with documents, presentation material and project coordination.
  4. Event planning: Plan and organise events such as meetings, presentations or special projects.

About You
You should have several years' experience working in a busy executive assistant position, ideally at a senior level. You should have successfully worked in a fast-paced environment with a flexible can-do attitude, excellent skills in relationship management with a wide range of stakeholders, relishes variety, and is deadline driven. You bring a high level of customer service ethos and display a highly confidential and professional demeanour. You are an excellent writer and communicator.
