About the Role: We are seeking a highly organized and dedicated administrator to join our Women's Health Outpatients team. This is a front-facing role that requires excellent customer service skills, as well as accurate data entry.

This role plays a critical part in supporting Waitaha Canterbury's outpatient services. The successful candidate will be guided by the Team Leader, Service Manager, and Clinical Director/Triaging Clinician to ensure adherence to booking practices in line with Ministry of Health (MoH) targets and standards.

Key Responsibilities:

  • Deliver exceptional customer service to patients, clinicians, and others accessing our services
  • Maintain confidentiality and privacy
  • Manage patient arrival and departure for outpatient clinic appointments
  • Update patient demographics in the management system
  • Promptly refer unwell or infirm patients to nursing staff
  • Ensure accurate and timely data entry and booking
  • Follow MoH and Waitaha Canterbury Elective Services guidelines
  • Communicate booking details clearly with patients
  • Maximize clinic utilization and minimize cancellations
  • Manage surgical and outpatient waitlists in alignment with service requirements

About You: To be successful in this role, you will need strong customer service and communication skills, a high level of accuracy, attention to detail, and time management. You should also be able to work both independently and collaboratively as part of a team.
