Job Description

As a key member of the ESSEC Business School team, you will play a pivotal role in ensuring the smooth delivery of academic programs. Reporting to the Senior Manager, Academic Affairs, this position requires close collaboration with various stakeholders to create positive experiences for all involved.

Key Responsibilities:
  • Program Management
  • Responsible for program delivery on the APAC campus, including preparation and coordination of academic year activities, class scheduling, examination, jury sessions, and other related tasks.
  • Collaborate with Academic Directors for successful program preparation and delivery.
  • Schedule and validate program schedules for approval, ensuring timely communication and updates through the ESSEC class scheduling system.
  • Students-Related Tasks
  • Supervise program induction, student attendance monitoring, examination coordination, grades data entry, and general student announcements.
  • Analyze and propose action plans based on students' feedback.
  • Maintain accurate student records and provide basic student care, supporting their mental and physical well-being.
  • Collaboration and Coordination
  • Work closely with counterparts in other ESSEC campuses to ensure alignment of program rules.
  • Curriculum-Related Events
  • Coordinate the execution of planned activities, including orientation, seminars, workshops, business games, and program-specific events, ensuring seamless logistical and administrative arrangements.
  • Assist with travel claims, reimbursement, and payment as needed.
  • Finance Process
  • Consolidate and update program expenses, maintaining a shared master database.
  • Raise program-related purchase requests through the procurement system.
  • Other Program Support
  • Set up and coordinate teleconferences/virtual meetings with international teams, collaborating with the International IT Department.
  • Take minutes, maintain stationery, and perform general housekeeping duties.
  • Prepare and update deck presentations.
  • Supervise team members, where relevant.

Requirements

To excel in this role, you will need:
  • Fluent skills in student affairs and higher education program management.
  • Meticulous, well-organized, and able to adapt to fast-paced environments.
  • A mature candidate who excels as a team player, with the ability to work independently and collaboratively.
  • Proficiency in MS Office applications.
  • Experience in coordinating study trips, workshops, events, and seminars is a plus.
  • Leveraging Google Tools: Managing Google Agenda and other Google Functions is a plus.
  • Basic knowledge of Moodle and Celcat will be a plus.
  • Ability to make preliminary decisions and propose solutions.
  • Ability to review and negotiate simple payment contracts with external vendors.


Qualifications

You must possess:
  • Diploma/Degree qualification.
  • At least 3 years of experience in Program Administration and Coordination Role in Higher Education Industry.
