Job Description:
About the RoleThe Event Operations Specialist oversees various clerical and administrative tasks to support company operations and communications during special events. As part of the Event Support team, you will be key in planning, executing, and wrapping up events.
Responsibilities include:
- Logistics Coordination: Work closely with vendors and suppliers to ensure timely delivery of services and materials.
- Calendar Management: Set up and manage event calendars, ensuring all necessary details are accounted for.
- Communication Management: Support event-related inquiries from emails, participants, vendors, sponsors, and internal teams.
What You Will Be Doing
Logistics Coordination:
Work closely with vendors and suppliers to ensure timely delivery of services and materials. Collaborate with Finance to coordinate, track, and reconcile all purchase orders and payment requisitions to the final payment of all services and materials.
Set-Up and Breakdown:
Assist in the set-up and breakdown of event spaces, ensuring all elements are in place according to the event plan. Support the dismantling process to ensure efficient and organized post-event cleanup.
Problem Solving:
Understand the key stakeholders to quickly and effectively address any issues or challenges that arise and ensure decisions align with the objectives to ensure the smooth progression of activities.

Required Skills and Qualifications:
- Previous experience in event coordination or related roles, a minimum of 1-3 years with post-secondary education in events management.
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal skills.
Working Conditions:
- With advance notice, the role may require working evenings, weekends, and holidays, especially during peak event seasons.
- Travel may also be necessary depending on the nature of the events.
