Working with us means being part of a dynamic team that's passionate about creating positive change.About the roleWe're seeking a highly skilled and proactive Administrative Services Manager & Administration Executive to provide essential support to our CEO, Leadership Team, Board, and wider organisation in a fixed-term position for 12 months.To excel in this role, you'll need exceptional organisational and time-management skills, the ability to multitask effectively, and a knack for anticipating needs before they arise.
You'll bring sound judgement, intuition, and a proactive approach to maintaining seamless operations.
Your capacity to collaborate across teams and build strong relationships with external stakeholders will be pivotal to your success.If you're eager to leverage your skills, commitment, and enthusiasm to drive success, we'd love to hear from youYour key responsibilities include:Executive and staff support – manage the CEO's schedule, coordinate travel, review and format documents, arrange meeting logistics, produce minutes, organise staff events and milestones, provide administrative assistance for office projects and offer general support as needed.Office management – oversee office supplies, contracts, supplier relationships, recycling, meeting room bookings and the carpark roster.
Ensure the office operates efficiently and continuously enhance office support services.Board services – compile and print Board papers, arrange meetings and travel, produce minutes, manage the Board election process and onboard new members.HR support – Assist with recruitment processes, coordinate staff inductions, ensure policies are read and signed and maintain personnel records.Match your skills and experience to the roleStrong knowledge of administrative services best practicesExceptional organisational skills with the ability to prioritise effectivelyExcellent oral and written communication skillsAbility to take accurate and detailed minutesA keen eye for accuracy and attention to detailStrong project management and event planning skillsAbility to multitask and work well under pressureFamiliarity with recruitment and induction processesHigh proficiency in Microsoft SuiteAbility to troubleshoot basic IT user issues
