We are a dynamic organization that provides a range of free primary health, mental health, wellbeing and social services to rangatahi aged between 10-24 years. Our mission is to support the health, wellbeing and education of taiohi.
Job Summary:
We are seeking an exceptional Receptionist / Admin Support person to join our passionate team of professionals. As a key member of our team, you will provide administrative support and ensure excellent customer service standards are met.
- Provide administrative support to the team in a fast-paced environment.
- Ensure excellent customer service standards are met when interacting with rangatahi and their families.
- Maintain accurate records and files.
- Coordinate mail and email communications.
- Manage stationery requirements.
- Prepare meeting agendas and minutes.
- Be highly organized, calm and professional in a busy and sometimes challenging environment.
Key Responsibilities:
- Receptionist duties, including answering phone calls, handling inquiries and taking messages.
- Booking appointments using Medtech.
- Scanning of information.
- PHO & casual enrolments, reporting, query building and statistics.
- Coordinating tasks and responsibilities with other team members.
- Meeting deadlines and achieving targets.
- Participating in training and professional development opportunities.
Requirements:
- A caring and empathetic attitude.
- The ability to build rapport with young people and their families.
- Highly effective verbal and written communication skills.
- A commitment to providing excellent customer service.
- A professional, friendly, non-judgmental and helpful personality.
- The ability to be flexible and well organized, juggling multiple tasks at the same time.
- Previous experience in similar reception/administration roles.
- An intermediate knowledge of Microsoft Office, including Word and Excel.
