As a leading hotel developer, we are a trusted partner to some of the world's most recognized hotel brands, including Holiday Inn Express, voco, Sebel, Hotel Indigo, and Kimpton Hotels and Restaurants.Position OverviewWe are looking for a motivated and highly organized Conference & Events Coordinator to join our team
In this role, you will be responsible for the planning and logistics of all confirmed events across the voco and Holiday Inn Express Auckland Hotel.
You will coordinate catering requirements, create banquet event orders, and liaise with hotel teams to ensure a smooth experience for our clients.
You will also oversee the end-to-end management of non-residential meeting opportunities across PIH Holiday Inn Express branded hotels.
Reporting to the Operations Excellence Manager, you will work closely with the Groups & Meetings team to ensure revenue targets and profitability goals are met.Key ResponsibilitiesCoordinate and manage client events, ensuring all aspects of the event are smoothly executed.Assist in achieving revenue targets and ensure high-quality service delivery.Prepare proposals, contracts, event orders, and other relevant paperwork.Handle client correspondence to ensure seamless event coordination.Maintain high standards in presentation, accuracy, and attention to detail in all administrative tasks.Proactively control costs while ensuring quality standards are maintained.Use hotel systems such as Delphi to record all activities and manage client data.Manage invoicing, including deposits and payments, in conjunction with the Accounts Receivable team.Attend to guest inquiries and follow up on proposals to achieve maximum revenue.Guest & Client ExperienceEnsure guests' needs are met, offering personalized and attentive service.Coordinate site inspections and follow-ups, ensuring high levels of client satisfaction.Provide event quotations and negotiate to achieve the best revenue and guest experience.People & CultureWork closely with the People & Culture team to maintain a positive work environment.Participate in training and development to enhance skills and grow within the company.Adhere to workplace standards for presentation, grooming, and punctuality.Performance Support & Responsible BusinessMaintain compliance with security, safety, and legal standards.Actively report hazards and risks, ensuring a safe work environment.Promote the hotel and brand in the local community and encourage team member involvement in outreach efforts.Experience, Knowledge, and SkillsMinimum 1-year experience in event sales or operations with a proven track record of success.Strong client relationship-building skills and a proactive approach to sales.Excellent verbal and written communication skills.Flexibility to adapt to changing work conditions.Ability to work independently and manage multiple tasks simultaneously.Proficiency in Microsoft Office.Australian Residency required.Why Join Us?Pro-invest Group offers a dynamic and collaborative work environment where you can grow your career in the hospitality industry.
