The opportunity: Reporting to the Senior Manager, Operations Account Services & Support, The Operations Assistant will support our Wealth Advisors and Associates to ensure quality control of documents and that procedures are properly implemented and maintained.
Key responsibilities include: Assisting in establishing department procedures, implementing, and continually reviewing them to create efficiencies.Providing timely and accurate responses to documentation queries and account opening requests from internal departments and investment advisor teams.Managing, resolving, and assigning tickets to appropriate teams and departments.
Monitoring ticketing systems within internal platforms and managing day-to-day workflow operation processes.Collaborating with other departments to support account opening within the organization.Managing returned mail and holding mail requests following internal department processes.Maintaining electronic copies of all submitted documentation within Advisor Connect and Croesus.Providing clients with signed documentation and welcome packages via electronic signature platforms.Resolving issues, answering inquiries, attending meetings, and coordinating with departments and third-party stakeholders to provide optimal client support.Performing other duties as assigned.The ideal candidate will possess: A bachelor's degree or diploma in business administration, finance, or a similar field of study.Minimum 1-2 years of financial services industry experience, preferably in an administrative or operational capacity.Minimum 1-2 years of experience in a customer/client-service facing role.Proficiency with the MS Office suite, including Word, Excel, PowerPoint, Teams, and Outlook.Experience using Croesus, iMost, Net Rep, Thompson One is considered a strong asset.Demonstrate exceptional accountability, reliability, adaptability, and innovation in daily tasks and long-term objectives.An excellent attitude and unwavering commitment to providing extraordinary service.Showcase meticulous attention to detail in all responsibilities.Possess exemplary interpersonal skills with the ability to communicate effectively and work collaboratively across various mediums (in-person, over the phone, and virtually).Strong organizational skills to manage tasks efficiently.Strong critical thinking and superior written and verbal communication skills.Maintain the highest levels of confidentiality in all matters.Conditions of employment: Must be legally eligible to work in Canada.A background check, satisfactory to the employer, may be required of the successful applicant prior to commencing employment.Wellington-Altus Private Wealth is strongly committed to equity and diversity within its community and welcomes applications from women, racialized persons, Indigenous peoples, persons with disabilities, and persons of all sexual orientations and genders.
