**About the role - Atu mo te mahi**
Reporting directly to the Quality Systems Supervisor the Documentation and Administration Officer will be at the heart of our operations, you will play a pivotal role in ensuring seamless operations by maintaining meticulous documentation and supporting administrative functions. Your ability to handle high volumes of work, maintain focus under pressure, and communicate effectively with internal and external stakeholders will be crucial in driving our success

**Key tasks and accountabilities**
- Maintain and organize critical documents, records, and reports with the highest level of accuracy and accessibility
- Ensure precision in document preparation, proofreading, and data entry to uphold our commitment to quality
- Collaborate with the Quality team to ensure that processes adhere to industry standards and regulations
- Engage with internal and external stakeholders to convey information clearly and professionally through written and verbal channels
- Continuously seek opportunities to enhance administrative processes, contributing to increased efficiency within the team
- Learn and navigate new systems quickly, demonstrating an openness to embrace change and new processes.
- Manage multiple tasks simultaneously in a fast-paced environment without compromising on quality
- Build and maintain positive relationships with team members, clients, and partners.
- Undertake additional administrative tasks as required to support the Quality team's objectives

**About you - Pehea koe**
- 3-5 years of administration experience in the pharmaceutical or logistics industry
- Excellent written and verbal communication skills, with the ability to proofread documents effectively
- Computer-savvy with the ability to adapt to new systems
- Confidence, professionalism, and the ability to remain calm under pressure
- Strong attention to detail and accuracy
- Openness to learning, adapting, and embracing new processes
- Ability to collaborate within a team and engage with stakeholders at all levels
- Excellent time management skills, with proven ability to set/handle multiple priorities and meet deadlines
- Methodical and remains calm under pressure
- Strong interpersonal and communication skills are essential (written & verbal)
- Ability to work co-operatively and effectively as part of a team and autonomously
- Resilient and pro-active
- Confident, engaging, and energetic approach.
- Proficient using Microsoft Office (excel, word) and strong data entry
