About the Role
We are looking for a Clinical Administrator to join our team at Waitaha Canterbury. This role plays a key part in ensuring efficient booking practices and supporting patient flow in line with Ministry of Health (MoH) targets and Waitaha Canterbury standards.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 5/Profile 5.
Reporting to the Team Leader, Service Manager, and Clinical Director/Triaging Clinician, you will be responsible for:
- Booking and scheduling preadmission clinic appointments and elective inpatient admissions.
- Coordinating operating lists and maintaining the waiting list.
- Maintaining accurate and timely patient records within the Patient Management System (SI PICS).
- Providing excellent customer service to patients, clinicians, and external stakeholders.
- Ensuring all bookings align with clinical priorities and MoH guidelines.
Key Responsibilities
Front of House Duties:
- Greet patients and provide high-quality customer service.
- Check and update patient demographics in the system.
- Refer unwell or infirm patients to nursing staff immediately.
- Accurately manage referrals and appointment bookings in line with MoH targets.
- Prioritize bookings based on 'greatest need, longest wait' principle.
- Ensure clear and timely communication with patients regarding bookings.
- Seek clinical direction when required, especially for re-categorisation queries.
- Maintain high clinic utilisation by effectively managing clinic templates and schedules.
- Minimise cancellations by adhering to the six-week booking horizon.
- Ensure surgical wait lists align with SI PICS and service requirements.
- Work closely with surgeons and service managers to manage surgical lists efficiently.

Desired Experience & Knowledge:
- Previous administrative experience in a healthcare setting.
- Understanding of medical terminology.
- Familiarity with the public hospital system and patient management systems.
- Awareness of cultural diversity in a healthcare setting.
- Knowledge of Waitaha Canterbury Elective Services Guidelines (Orange Book V3).
