Facilities Coordinator

Compensation: £28,000 - £30,000 / year

Description

We are looking for a Facilities Coordinator to help us maintain a secure and well-functioning work environment. You will coordinate with external vendors, such as cleaners and insurance agents, and conduct cost analyses when purchasing new systems or services. Ensuring Yu Groups grounds, buildings, and facilities are safely maintained, improved, and fully utilized. The Facilities Coordinator will complete day-to-day operational requirements within the Yu Group.

As a Facilities Coordinator, you will ensure the day-to-day smooth operation of a building's infrastructure, through administrative support, including budgeting, procurement negotiation, contractor liaison and documentation, as well as coordination of staff and office equipment during relocation, and at times supervision and physical assistance with maintenance tasks. We are looking for someone with pace and a track record of delivery and experience in overseeing projects.

What We Need From Yü

Here's a taste of what you'll be doing:

  • Collaborates with other departments and external companies to draft and execute budgets for assigned projects.
  • Coordinates and manages all aspects of assigned projects to ensure timely completion within available budget.
  • Manages planning, budgeting, consultant and contractor selection, pre-construction, bidding, construction management, quality assurance, closeout, and project turnover for operations and maintenance.
  • Preparing, organizing, and storing information in paper and digital form.
  • Dealing with queries on the phone and by email.
  • Greeting visitors at reception.
  • Managing diaries, scheduling meetings, and booking rooms.
  • Arranging travel and accommodation.
  • Arranging post and deliveries.
  • Printing and photocopying.
  • Ordering office supplies.
  • Maintaining office systems.
  • Liaising with suppliers and contractors.
  • Liaising with staff in other departments, e.g. finance, HR.
  • Keeping track and recording budgets and orders, with any purchases made on credit and invoice.
  • Updating and maintaining desk plans for our Nottingham and Leicester offices, including keeping up to date with new starters, leavers, and any desk moves that take place.
  • Internal monthly reporting on facilities.
  • Working in an office.
