About the Auckland System Management (ASM) Alliance
The ASM is an alliance between HEB Construction, Fulton Hogan and Waka Kotahi NZ Transport Agency to operate and maintain Auckland's motorway network. The Alliance is expected to work collaboratively with internal and external stakeholders as well as suppliers to deliver exceptional outcomes for customers using the Auckland transport system. Estimated project dates are from July 2019 to June 2028.
The Opportunity
We have a fantastic opportunity for a Personal Assistant to join our team. As Personal Assistant, you will primarily provide effective support to our Alliance Manager, as well as secondary support to our Alliance Leadership Team (ALT) in managing their daily administrative needs.

What you will be doing:
The day-to-day responsibilities of this role will include:
- Organising the Alliance Manager's calendar, email inbox, and meetings, including room setup and catering.
- Acting as a point of contact among executives, employees, clients, and external partners, and directing communications.
- Formatting information for communication, including presentations and reports, and maintaining document filing systems.
- Advising on time management and task prioritisation and taking minutes during senior leadership and Board meetings.
- Liaising with Board executive assistants for subcommittee meetings, site visits, and specific focus meetings.
About You:
Our ideal candidate will have the following qualifications, experience and skills:
- Minimum 2 years' work experience as an Executive Assistant, Personal Assistant or similar.
- Excellent MS Office knowledge.
- Outstanding organisational and time management skills.
- Detail oriented and works with a high degree of accuracy.
- Excellent verbal and written communications skills.
- Discretion and confidentiality.
- Relevant qualification would be advantageous.
Above all, this position requires exceptional communication and organisation skills and the ability to work with the senior leadership team to help them proactively manage their time and input into the wider organisation.
