Our client in Penrose - Auckland has been around for 35 years and is in the Manufacturing sector. A family owned business that is looking for the right person to fit in with their team.

We are looking for a full-time allrounder Administration Assistant in an office based in Penrose. This company is a manufacturing warehouse but this role would be office based on site.

The hours of work are: 7/8:30am start and you will work an eight-hour day, with a half an hour lunch break.Starting rate is $35PH + Holiday pay, this is a temp to permanent position.

They are changing their current Tims Payroll/Accounts systems and need someone to come in fresh with a good attitude and eager to learn.

Duties include:

Accounts Payable

  • Match Purchase Orders (PO) to Goods Received Notes (GRN)
  • Match PO and GRN to Invoices
  • Check invoice pricing
  • Enter invoices on TIMS Computer System
  • Creditor reconciliations
  • Write up Direct Debit payments for local and overseas suppliers
  • Enter Manual payments
  • Match remittance advice to statements and invoices
  • Advise local & overseas suppliers of payment details
  • Run end of month cut-off

Accounts Receivable

  • Process Sales Orders
  • Email invoices to customers
  • Enter inwards payments
  • Write up and enter manual invoices
  • Run end of month cut-off
  • Email statements to customers

Payroll

  • Close works orders
  • Prepare and enter weekly payroll
  • Run end of month cut-off
  • Check approval for orders to be shipped
  • Organize documentation required for each shipment
  • Communicate with freight forwarders
  • Organize collection of shipments
  • Liaise with production department in relation to orders being shipped
  • Communicate shipping details to sales department/customers
  • Ordering stationery supplies
  • Maintaining minimum stocks
  • Greet visitors at Reception

Key attributes needed:

  • Be meticulous with an eye for detail
  • Previous experience in accounts payable, accounts receivable & wages
  • Good attitude and willingness to learn

We are looking for someone with at least one years' experience in the above duties.

Ideally, we are looking for someone to start ASAP, this is a long-term, temp-perm position.
