As an Administrator, you will play a crucial role in ensuring smooth transcription duties and adherence to our high standards of service.

As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 4/Profile 4

This position is a permanent part time role working 25 hours per week (negotiable on days and start/finish times)

Key Responsibilities:

Customer Service:

  • Maintain a genuine focus on excellent customer service for patients, clinicians, and other stakeholders.
  • Ensure patient confidentiality and privacy are always upheld.

Front of House Duties:

  • Perform front desk duties with excellent customer service skills.
  • Update patient demographics in the patient management system promptly.
  • Ensure timely arrival, departure, and waitlisting of patients.
  • Refer unwell or infirm patients to nursing staff promptly.

Patient Management System and Processes:

  • Standardize processes according to Waitaha Canterbury Elective Services Guidelines.
  • Book patients by priority, managing 'greatest need, longest wait,' and meeting Ministry of Health requirements.
  • Ensure accurate and timely data entry.
  • Communicate booking information clearly and promptly to patients.
  • Seek clinical direction as needed, especially regarding recategorization queries.
  • Consider prebooking requirements, including timing of diagnostic tests.

Clinic Utilization:

  • Make clinic bookings according to the clinic template.
  • Maintain high levels of clinic utilization.
  • Minimize cancellations by working within the sixweek booking horizon.
  • Prepare clinics and outcomes according to clinical team and business rules.

Wait List Management:

  • Ensure outpatient and SI PICS wait lists are aligned.
  • Filter wait lists according to service requirements and 'greatest need/longest wait.
  • Consult with clinical and service management as needed.

Transcription Duties:

  • Complete dictated letters within set timeframes.
  • Ensure accuracy and presentation of written work.
  • Process and distribute letters and outgoing correspondence promptly.
