We're looking for a Team Lead of Office Operations to join our Office Operations team in Auckland.

You will be responsible for leading a small APAC team of Office Managers across New Zealand and Australia and ensuring that the offices are maintained to a high standard.

What you'll be doing:

  • Lead a team of proactive, customer focused Office Managers conducting one on ones, providing constructive feedback, being the escalation point, communicating changes, creating processes and policies, etc
  • Work with the APAC leadership team to ensure that our culture within the office is maintained helping facilitate events, catering etc such as Unconference, Quarterly All Hands, etc
  • Work together with the management team of Operations to develop innovative and efficient ways of working
  • Develop and maintain SLA's whilst keeping track of the budget
  • Be the main point of contact and the face of the office management team ensuring people are kept informed around any office related comms such as maintenance, closures, etc
  • Work together with the management team of Facilities to oversee and assist with projects of a higher threshold (such as office relocations, expansion, large office improvements, etc)
  • Manage the schedule of the meeting rooms and ensure they are kept tidy and in good working order where there are IT issues, Liaise with the IT team to have these addressed
  • Monitor the Operations Service Desk, including assisting with staff onboarding
  • Keep the office a clean and organised place, complying with the Lightspeed standard and ensuring the office is supplied with snacks, office stationary etc.
  • Maintain a good relationship with vendors and finding the best fit for Lightspeed (such as plumber, electrician, etc)
  • Negotiate contracts with operation suppliers (such as maintenance, office supplies, etc)
  • Scheduling regular maintenance to keep our office looking good and fully operational
And a little bit of

  • Assist with employee travel booking booked through our global travel management platform
  • Handle incoming and outgoing mail, including shipping/couriers for the team
  • Provide cover for other offices when other Office Managers are on leave (remotely)

What you need to bring:

  • Proven experience in the field of office management
  • Ideally experience leading a small team
  • You are serviceoriented, proactive and flexible
  • Proven ability to handle urgent situations and work under pressure
  • Strong attention to detail
  • Excellent time management and organisation skills
  • Excellent communication (in particular written) and multitasking skills
