About the Role
The Document Formatting Specialist is responsible for producing consistently formatted, professional reports, tenders, and presentations using the Microsoft 365 suite. The role ensures that all business documents meet organisational standards of accuracy, clarity, and presentation. In addition to formatting duties, the position provides operational support to the Auckland office and contributes to national administrative processes, fostering a collaborative and values‑aligned team culture.
Key Responsibilities
Deliver accurate and timely formatting services for reports, tenders, and presentations in line with branding guidelines.
Apply and maintain consistent templates, styles, and document standards across all outputs.
Provide operational and administrative support to the Auckland office, including reception duties, meeting minutes, travel bookings, courier arrangements, and supplier invoice processing.
Assist project managers with document preparation and related administrative tasks.
Maintain accurate records and filing systems (digital and physical).
Support national offices with administrative tasks as required.
Assist in the preparation, review, and maintenance of client service agreements (contracts).
Coordinate internal communications and ensure timely follow‑ups.
Contribute to a collaborative, inclusive, and high‑performing team culture aligned with organisational values.
Identify and suggest process improvements to enhance efficiency.
What You Will Bring
- Proven experience in administrative, document production, or business support roles.
- Advanced proficiency in Microsoft 365 Suite (Word, PowerPoint, Excel, Outlook, SharePoint).
- Excellent attention to detail, particularly in formatting and document presentation.
- Strong written and verbal communication skills.
- Ability to manage multiple tasks, prioritise effectively, and meet deadlines.
- Experience with client service agreements or similar documentation is desirable.
- Friendly and positive attitude.
- Professional, proactive, and well‑organised.
- Discreet and trustworthy with sensitive information.
- Effective and professional communication and customer service skills.
- Collaborative mindset with a focus on team success.
- Current New Zealand driver's licence.
