Position Overview:

As the Sales Administrator, you will play a crucial role in supporting our high-performing sales team and driving our marketing efforts. You will be the backbone of the sales process, ensuring that from "Just Listed" to "Just Sold," every detail is perfect. Exceptional attention to detail, emotional intelligence, and the ability to multitask and think outside the box are a must

Day to Day Responsibilities:

  • Listing Management: Manage the end-to-end process of loading new property listings into the system. Ensure accurate and compelling text, high-quality photos, and correct data are pushed to all real estate portals and websites.
  • Marketing Coordination: Create and order marketing materials, including brochures, signboards, and window cards. Ensure the brand looks immaculate across all channels.
  • Social Media Management: Drive our digital presence by posting new listings, auction results, "Just Sold" celebrations, and community news to maintain a strong market presence.
  • Front Line Reception: Serve as the initial point of contact for potential buyers and vendors, handling inquiries with warmth and professionalism.
  • Inbox Management: Prioritise and manage emails related to sales inquiries, vendor questions, and operational communications.
  • Sales Administration & Compliance: Assist with the preparation of sales documentation, manage anti-money laundering (AML) compliance checks, and maintain comprehensive digital files for every property.
  • Key Management: Coordinate the secure distribution and retrieval of keys for photographers, valuers, and building inspectors.
  • Settlement Support: Assist the team with the unconditional and settlement processes.
  • Financial Administration: Process marketing invoices and assist with basic sales trust accounting queries.

Qualifications:

  • Previous experience in real estate administration is a plus.
  • Strong organisational and communication skills.
  • Proficiency in property management and real estate CRM software (or willingness and ability to learn).
  • Excellent teamwork and multitasking abilities.

Please note that this role is reception based, 8.30am - 5.00pm, Monday to Friday.
